How to Set up a PO Release Strategy in SAP Business Scenario : Company ABC is in to importation & sale of Pharmaceutical drugs and Consumer goods. The company purchases common consumables, packing materials, etc. locally & the specific trading items (Pharmaceuticals & Consumer) from foreign countries. Any local purchase of the company is handled by its central procurement division. The Importation of trading items however are handled by the respective business unit (Pharmaceutical Division & Consumer Division) The two trading divisions are created in SAP as two separate Plants. Procure to Pay Cycle in SAP, better known as P2P is the SAP process followed in procuring Goods/ Services. This process involves activities from requesting the requirement via a PR to Invoice Verification for the Vendor’s invoice. This post intends to cover the steps in the standard SAP P2P process along with the business application. The below process flow depicts the typical P2P flow, starting from a PR. 1. Create PR The process initiate with a PR. PR is an internal document, which does not carry any legal validity. This document is used to communicate the requirement of an individual, to the procurement department. The requester would specify, what he wants, how much he wants & by when he wants the goods or service. 2. Approve PR Once the PR is created, it’ll flow to an approver. This article explains the concepts, in setting up a release strategy for PO in SAP ERP. The Part 2 of this article would explain the steps in setting up a release strategy for PO. Basic Concepts in SAP PO Release Strategy 1. Release Class or Class A group of characteristics. This set of characteristics is common for all Release Groups 2. Characteristics  Fields that are used to determine/ trigger the release strategy for PO. If PO Type for example, is defined as a characteristic, the release strategy is triggered based on the value given (Eg: NB) for this particular characteristic, within the release strategy. 3. Release Group Logical grouping of release strategies. Could even use a single release group if required. But it’s better to have different groups for ease of identification & management. For example, Release Group ‘PH’ could be used for POs in Pharmaceutical Business Segment. And Release Group ‘CM’ for POs in Consumer Business Segm
